Application Cancellation
You may cancel your housing application before you move in by going to your MyHFS homepage.
- A cancellation charge will be assessed as shown in the table relevant to your application type below.
- If you cancel your initial housing application, reapply, and cancel again, you will be assessed cancellation based on the latest cancellation date.
- You will not be assessed a cancellation charge if you submit your cancellation notice within one week of submitting your housing application and have not yet been assigned to a room; if you formally decline your offer of admission to the University; if your offer of admission to the University is rescinded by the University; or if you have received military orders for entry into the service, a permanent change of station or deployment for at least 90 days. You must provide HFS with copies of any such military orders at hfsinfo@uw.edu.
- If you do not submit your cancellation notice and do not check in to your room by 12 noon on the second day of University instruction or, if assigned after the quarter begins, by your assigned check-in date: HFS will cancel your application and assignment; you will be charged a $500 early termination charge; and you will be responsible for paying full room charges for the full agreement period.
- If you cancel your application and do not have a pending housing application or assignment for a future term, your Pre-Payment will be used to pay for any balance due on your account.
- If your balance due exceeds the amount of your Pre-payment, you must pay the remaining balance immediately.
- HFS will refund any remainder of your Pre-payment by mail. If the refund is returned to HFS for any reason, the money will be held for one year by HFS before remittance to the Washington State Department of Revenue.

Cancellation for Family Housing
You may cancel your housing application at no charge before you have signed your agreement. If you cancel your housing assignment after you have signed your agreement, or do not move in within 72 hours of your assigned move-in date, you will be assessed a $500 cancellation charge.
Nordheim Court parking
You may cancel your parking application and agreement before your requested start date on your MyHFS Homepage.
- If you cancel your parking application more than a week of your requested start date, you will not be assessed a cancellation charge.
- If you cancel less than a week before, you will be assessed a cancellation charge of $50.
- You will not be assessed a Cancellation charge if:You are not assigned to Nordheim Court
- You notify University Admissions at askuwadm@uw.edu and HFS at hfsinfo@uw.edu that you have declined your offer of admission or are transferring to another institution
- Your offer of admission is rescinded by the University
- You are eligible based on Armed Forces exceptions per ESHB.SL. I must provide HFS with copies of any such military orders at hfsinfo@uw.edu.
- If you cancel your initial application, reapply, and cancel again, you may be assessed multiple cancellation charges based on your cancellation dates.
- If you do not submit your cancellation notice and do not pick up your permit within one week of your requested start date:
- HFS will cancel your application
- You will be charged an $80 cancellation charge
- You will be responsible for paying full charges for the month
Deferment
The following terms apply to all application types except family housing.
- You may defer your application before the agreement starts by emailing hfsinfo@uw.edu.
- You will not be subject to cancellation charges if you are assigned and check in for a future quarter.
- You will be subject to cancellation charges for your original application quarter if you are assigned and do not check in for a future quarter.
Agreement Termination
If you decide to end your housing agreement before its end date, you will be responsible for paying housing charges for the entire agreement duration and dining charges until the end of the quarter you vacate. Please review your Housing Agreement for specific deadlines and charges.
Exceptions for Early Termination and Future Quarter Charges
There are a few exceptions for early termination and future quarter charges. If you qualify, you need to send documentation to hfsinfo@uw.edu within five days of your checkout date (not required for graduation) that establishes that you are one of the following:
- No longer a registered student.
- Approved for a hardship withdrawal.
- Participating in a UW study abroad program.
- Being deployed or assigned for services in the armed forces.
- Completing your academic program or graduating.
- Moving directly into Commodore Duchess, Radford Court, or another student housing property owned by the University of Washington.
Steps for Termination
- Complete the Agreement Termination Notice.
- Contact your RA or CA to schedule a room inspection appointment.
- Update your local address at MyUW and discontinue subscription deliveries.
- Sign up for HFS direct deposit.
- Remove all of your items and clean your room.
- Move out and return your keys to your desk location after your room inspection appointment.
No Notice and Abandonment
If you leave your room without formally checking out, abandonment procedures will be initiated by HFS. This includes contacting your roommates, neighbors, the registrar, and other University departments to determine your whereabouts and intentions.
Abandonment charges include:
- Lock change and key replacement.
- Moving.
- Handling and storage of belongings.
- Cleaning or repair charges.
- Any room payment owed.
