Move-Out Process

Housing & Food Services has implemented a revised checkout process for residents. If you are continuing to live with HFS for summer quarter, please see the information below.

This process is developed to maximize CDC-recommended social distancing guidelines and to make it as simple as possible to process checkouts in an organized and safe manner.

Please email your community’s Resident Director or Area Director directly to schedule a move-out date and time and receive further information related to your move-out.

Checkout steps

  1. Sign up for a checkout date and time on the move-out appointment page. We ask that you please complete your checkout within the time block. If you are in need of additional time beyond that, please contact your community’s Resident Director or Area Director. This is to ensure we don’t experience overcrowding of elevators, hallways, or lobby areas. We ask that only one person/family use an elevator at a time.
  2. If you are not currently residing on campus, card access for your community has been turned off. When you arrive to campus on your dedicated checkout date and time, go to the Regional Desk that serves your community to obtain a building access card.
  3. Pack your belongings, clean your room, pick up your mail and packages, and return your keys. We will not be providing volunteer assistance or oversight. There will be no in-person inspection of your space with HFS staff prior to your departure.
  4. Return your keys to the drop boxes located at the Lander Desk (West Campus residents), Willow Package Locker Room (North Campus residents), or Nordheim Desk (Nordheim Court residents).
  5. Update your mailing address in MyUW within 24 hours of your vacate. After you vacate, mail and packages will be forwarded for 180 days to the address you provide. Failure to do so will result in mail and packages being returned to sender.

Other important information

  • Carts and vacuums will not be provided by HFS. Unfortunately, we don’t have enough cleaning supplies or staffing to adequately disinfect between each use. Please plan to bring your own carts or allow extra time for multiple trips.
  • HFS has worked with UW Transportation Services to ensure the following parking lots will be available for load/unload at no charge to residents: W8, W10, W29, W32, W33, N6, N9, N10, N11, N13, N14, N15
  • Please clean your room. Since we are not supplying vacuums, there will be no cleaning charges applied for not vacuuming, but other cleaning charges and damage charges will still apply.
  • After your keys are returned, an HFS staff member will inspect the room and complete your room condition report. HFS will send deposit settlements as we move through this process.
  • Please adhere to CDC-recommended social distancing guidelines.


Don’t Cram It, SCRAM It! Simplify your move-out by dropping off unwanted items at the SCRAM donation station at your building. Beginning the Monday of finals week, SCRAM bins are available for any unwanted items that are clean and in working order.

  • Nonperishable, canned or boxed food
  • Clothing
  • Bedding, shoes, accessories
  • Books, housewares, electronics, sporting goods, school supplies, toiletries, cleaning supplies

Leave the microfridge in your room and it will be picked up by Collegiate Concept staff after you vacate. Please ensure your microfridge is:

  • Fully defrosted, please unplug the unit two days prior to when you’re leaving (do not use any sharp objects to defrost the unit.)
  • Completely clean & dry, this includes seals and inside/outside surfaces of the refrigerator, freezer and microwave. There will be a $30 charge if not cleaned.
  • Returned with all parts, top shelf and bottom shelf, microwave plate and ring. There will be additional charges for missing parts.
  • Left with the refrigerator and freezer doors open.

Continuing to live with HFS for summer

If you are living in the same room during spring and summer quarters:

  • You are not required to check out of your spring room nor into your summer room.
  • Moving to a new room for summer? 
  •  The deadline to check out of your spring quarter room is noon on Sunday, June 14. While some rooms may be ready before noon on June 13, many rooms will not be ready until 12noon on Sunday, June 14.
  • Please plan your move accordingly and do not move out of your cur-rent room until your new room is ready. 
  • The front desk will post ready rooms on Google document called 2020 Summer Room Readiness.

When your new room will be ready

As rooms are ready for you to move into, they will be listed on the 2020 Summer Room Readiness Google document
Please check the document regularly so you will know when your room is ready, and so you can move as early as possible to your new room. 

Storage information

HFS partners with Dorm Room Movers (DRM) to supply break period storage for UW students. DRM staff can assist you with pick-up and drop-off of your belongings. A limited number of boxes will be available for residents using DRM services. Please learn more about these options on the Dorm Room Movers website. DRM service charges will apply.

If you are unable to return to campus

If you’ve already left and/or can’t return to campus right away to get your personal belongings, we can connect you with our partner, Dorm Room Movers (DRM), to arrange and supply break period storage. Contact DRM on their website. DRM service charges will apply.

You can instead elect to leave your belongings in your room until noon on June 13 for a flat fee of $500.

We also have the option of allowing friends, family members, or moving services to pack up and move your belongings. Please contact us at to make arrangements.

If you need to return your keys by mail to avoid charges for a lock change. Keys should be sent to:
