The right space for your event

It’s important to have enough space and the right space to foster engagement. Our residence halls feature study and meeting rooms, banquet facilities, auditoriums and lounges, so you’ll be sure to find the perfect space for your conference, event, or meet-up.

Meeting Rooms

Eligibility and rates

All of our meeting spaces are located in student residence halls. Because of this we can only offer reservations to members of the UW community or to groups who are affiliated with the university. 


UW departments & off campus groups

UW department or organization: All staff or faculty members are eligible to reserve space, including department event planners as part of your conference package. Review the UW department rates

Registered Student Organizations: Non-resident students who are members of an RSO or who have sponsorship from a UW department. Review the RSO meeting room rates.

Off campus groups: Teams who want to take advantage of our great rates and spaces must first acquire sponsorship from a UW department or organization. Conference planners may reserve space as part of their event package. Review the off campus rate sheet.


HFS Residents

All students living in HFS residence halls and apartments are eligible to reserve meeting space.

Request meeting space

Please reserve meeting space at least 7 business days in advance and no earlier than one year in advance.

RSO's, UW departments and off campus groups

UW community members, including Registered Student Organizations (RSOs), or groups sponsored by the university.

HFS Residents

All HFS residents are eligible to reserve meeting and study space. 

HFS meeting spaces

Whether you need a room for training or an auditorium for movie night, our meeting spaces are conveniently located, fully furnished and accessible. From equipment to catering, your meeting room can be supplied with whatever you need for a successful event.

Audio/visual equipment

Please email us with your audio/visual requirements, specifically if you need or will be using a microphone. We will coordinate the approval of amplified sound from the Resident Director of the building where you will be meeting. If your meeting or event requires additional equipment beyond the standard equipment for that room, please contact Academic Technologies.

Meeting room furniture

All meeting rooms have a standard set of furniture and arrangement. Most have moveable tables and chairs that you can adjust according to your needs. Please return the room to the standard set-up before you leave.

Custom room arrangements are subject to availability and will incur an additional charge. 

For catered events, Bay Laurel Catering will work with you directly to customize your room set. 

Food and beverages

Catering is available exclusively through UW’s Bay Laurel Catering, which offers a variety of quality culinary options like boxed lunches, coffee and muffins for meetings and barbeques.

Youth Programs

The University of Washington promotes safe, high quality engagements with youth that advance the University’s educational and strategic mission.
 
Under Administrative Policy Statement 10.13 (APS 10.13), the UW has introduced Requirements for University and Third Party Led Youth Programs. This policy and its requirements are to serve as safeguards to protect the well-being of youth participating in University hosted (or sponsored) programs on the UW campus.
