Student Jobs FAQ

When will I get a response to my application?

Due to the number of applications we receive, we are not able to send individual notifications and updates to all candidates. We are continually accepting applications for many student positions. Applicants will be contacted as a position matching their interests, experience and schedule becomes available. Most positions are filled just before the start of each quarter, but often positions become available throughout the quarter.

Many times, our position openings change on a weekly basis. This is why we have a variety of candidate banks to apply to. Please note that you may apply to these candidate banks even though there may not be active hiring for the position at that time. If you do not receive contact in the first few weeks, it is likely because shifts are not yet available for the positions you have applied to.

I have lots of experience, why haven't I been contacted yet?

First, check that all information on your application is correct and current (especially your schedule), and make sure that you have actually applied to a position (listed under My Jobs).

Secondly, because students will not be hired for shifts that conflict with their stated class schedule, a particular candidate may not have been contacted simply because shifts matching the candidate's schedule have not yet become available.

I am an international student. Am I eligible for these positions?

There are different sorts of jobs that students can have on campus. There are temporary/hourly positions and there are student assistant positions. The student assistant positions require that the student be registered for actual credit classes (at least six undergraduate credits or four graduate credits). Nearly all HFS student positions are student assistant positions, so students who are only registered for ELP/IEP units are not currently eligible for these positions.

Why has my application status changed?

When a candidate applies for a position, the status will appear as Applied. Applications in Applied status are repeatedly reviewed by hiring managers. When a candidate's schedule, interests and experience match with a currently open shift, he/she will be contacted for an interview.

Following the interview or questionnaire, the candidate's application status will be changed to Hired or Eligible for Hire. Eligible for Hire is noted for candidates who have been screened by HFS Human Resources and seem like a good match for HFS. Just because someone is Eligible for Hire does not mean they have actually been hired. HFS Human Resources will contact the candidate to offer a position once they have found one that meets the candidate's availability, preferences and skill set.

I had an interview and/or completed an employment questionnaire, so now what?

Following completion of an online application, students are offered shifts/positions based on experience, interests and schedule availability. In some cases, you may be interviewed by phone, or in-person. Job offers are made via email, so please keep an eye out for an email from hfsjobs@uw.edu. Respond promptly to ensure that the shifts/positions you are offered are not offered out to another candidate.

Once you accept an offer you will be emailed instructions on how to complete your hire in Workday, the UW’s payroll system. Before you to start working, the HFS Payroll Office will need to see original identification or documentation showing your eligibility to work in the U.S. (such as your Social Security card, U.S. birth certificate or passport). You can review the list of allowable documentation. International students will also need to have an I-20 ready.
