University Housing Posting Policy

Groups or individuals may submit materials for posting with the purpose of promoting a campus or UW community program, school, organization, activity or event. Posting materials should be submitted to the Residential Life Administration Office for approval. It is recommended that postings are submitted to the Residential Life Administration Office at least one week in advance. Upon approval, Residential Life Staff will display these postings in designated residential locations. Postings will be displayed for up to two weeks or until 24 hours after an event date, whichever occurs first. Only University Housing staff may post materials and any postings that are posted without prior approval will be removed. All materials must conform to state and local laws and the policies of the UW and HFS. An organization responsible for improper posting may subsequently lose the privilege of posting information or reserving rooms in University Housing. An event improperly advertised, which utilizes University Housing space, may be canceled.

Submit your postings to the Residential Life Administration Office at the HFS Central Office in Terry Hall for approval to post your materials.

Housing Residents

Students living within University Housing may submit community announcements to be viewable on their community digital screens (where installed). 

HFS staff, student groups and students living within the UW residence halls, and UW partners, may submit community announcements to be displayed on digital screens (located on residence hall public floors and the Husky Den video wall) with the purpose of promoting a campus or UW-community program, school, organization, activity or event.

Individuals who submit a request are responsible for creating the posting they wish to display. Each advertisement must follow the requirements listed below.

Images

For images, the minimum dpi (dots per inch) is 150 dpi.

Fonts

Keep it simple. Use common windows fonts that most windows users have. If a Mac user creates a screen and uses a font that is not in Windows, the text will not function as anticipated. For ease of readability, use only one or two fonts. Headers should be in type size 40 points or larger, while other text should not be smaller than 18 points.

Borders

Keep information at least a half inch away from the border so the visibility of the text won't be reduced.

Before Submission, Please:

  • Make sure requests are in accordance with this policy.
  • If advertising an event, make sure all the appropriate arrangements have been made.
  • Upon approval, Residential Life staff will display these postings in designated residence hall locations. Postings will be displayed for up to two weeks or until 24 hours after an event, whichever occurs first.
  • Submit the form, and email your PowerPoint to uw_hfs_digital_ad@uw.edu at least 72 hours (or three business days) in advance of the desired display date.

UW Organizations

Posting materials sponsored by UW-affiliated organizations/offices (outside of HFS) may be posted in designated nonresidential areas (i.e., building lobbies). Materials must include the name of the sponsoring organization or office. Materials for residential floors should be no larger than 11" x 17"; materials for nonresidential areas should be no larger than 24" x 36". Materials should be counted, bundled and labeled for distribution based on the summer community information below:

Commercial advertisements are limited to designated nonresidential areas of each building. Only residence hall/apartment staff may post materials. Materials should be no larger than 24" x 36". Posting material is limited to one poster per area based on the summer community information below:
